Event Terms & Conditions
- Booking and Deposit
- A booking is not confirmed until the required deposit has been received.
- All deposits are non-refundable and non-transferable under any circumstances, including participant cancellation.
- By paying the deposit, the participant agrees to these Terms & Conditions.
- Payment Schedule
- Full payment must be received no later than six (6) weeks prior to the event start date.
- Failure to pay the balance by the stated due date may result in cancellation of the booking.
- The organiser reserves the right to cancel any booking where payment has not been received in full by the due date.
- Any payments made prior to cancellation due to non-payment may be retained by the organiser.
- Participant Cancellations
- Deposits are non-refundable.
- No refunds will be provided for cancellations made within six (6) weeks of the event.
- No refunds will be given for unused services, missed activities, late arrivals, or early departures.
- Travel Arrangements
- Participants are responsible for arranging and paying for their own flights, visas, passports, travel insurance, airport transfers (unless otherwise specified), and any related travel requirements.
- The organiser accepts no responsibility for flight cancellations, delays, missed connections, denied boarding, visa issues, passport issues, or any other travel disruptions.
- Participants are strongly advised to purchase comprehensive travel insurance.
- Accommodation
- Accommodation will be allocated by the organiser.
- Specific room types, room numbers, views, bedding configurations, or hotel locations cannot be guaranteed.
- Accommodation details may be changed where necessary due to operational requirements.
- Event Changes
- The organiser reserves the right to modify the event itinerary, venue, accommodation, activities, speakers, schedules, or services where reasonably necessary.
- Such changes shall not entitle participants to a refund.
- Force Majeure
- The organiser shall not be liable for cancellations, delays, interruptions, or changes caused by circumstances beyond its reasonable control, including but not limited to:
• Natural disasters
• Extreme weather
• Pandemics or public health emergencies
• Government restrictions
• Civil unrest
• Acts of terrorism
• Transportation disruptions
• Utility failures - Refunds in such circumstances shall be at the organiser’s sole discretion.
- The organiser shall not be liable for cancellations, delays, interruptions, or changes caused by circumstances beyond its reasonable control, including but not limited to:
- Personal Responsibility
- Participants attend the event at their own risk.
- Participants are responsible for ensuring they are physically and medically fit to attend and participate in any activities.
- The organiser accepts no liability for injuries, illness, accidents, losses, damages, or expenses incurred during the event except where required by law.
- Personal Property
- Participants are responsible for their own belongings at all times.
- The organiser accepts no responsibility for lost, stolen, or damaged personal property.
- Participant Conduct
- Participants are expected to behave respectfully toward fellow attendees, staff, venues, hotel personnel, and local communities.
- Participants must comply with all hotel, venue, and local regulations, including policies relating to noise levels, smoking, alcohol consumption, use of facilities, and occupancy limits.
- Participants are expected to treat hotel property, furnishings, and facilities with care and consideration.
- Any damage caused to hotel property, event venues, or third-party property by a participant may result in the participant being held personally responsible for repair, replacement, cleaning, or associated costs.
- Excessive noise, disruptive behaviour, harassment, vandalism, or conduct that negatively impacts other guests, staff, or the reputation of the event may result in removal from the event or accommodation.
- The organiser reserves the right to remove any participant whose behaviour is disruptive, unsafe, abusive, discriminatory, illegal, or otherwise inappropriate.
- No refund will be provided in such circumstances.
- Photography and Videography
- Photographs and video recordings may be taken throughout the event.
- By attending, participants grant permission for their image, voice, and likeness to be used in promotional, marketing, social media, and future event materials without compensation.
- Participants who do not wish to appear in photographs or videos should notify the organiser in advance and make reasonable efforts to avoid designated photography and filming areas.
- Alcohol and Activities
- Participants are responsible for their own decisions regarding alcohol consumption and personal activities.
- The organiser accepts no liability for incidents arising from intoxication, reckless behaviour, or participation in activities outside the official event programme.
- Limitation of Liability
- To the fullest extent permitted by law, the organiser’s total liability shall not exceed the amount paid by the participant for the event.
- The organiser shall not be liable for any indirect, consequential, incidental, or special damages.
- Acceptance
- Payment of any deposit or event fee constitutes acceptance of these Terms & Conditions.
- Participants acknowledge that they have read, understood, and agreed to these Terms & Conditions before booking.
